This will be our first year using PTCAS at Georgia Health Science University (formally MCG).

We are going to load the TAMF file through NOLIJ. But, the ssn's will not be included on the TAMF file so there is an additional file with the ssn's and PTCAS ID that will be downloaded.  Is anyone merging these two files or have you set up matching rules for this process?

Hi Cecilia,

Your question is a good one, and there are a number of possible approaches to solving the "missing SSN" issue.  The TAMF is a simple, pipe-delimited flat file, where the SSN is the first field and the AMCAS ID is the 3rd field.  The file can be imported into a program like Microsoft Access, and written to a table.  Then, the separate SSN file can be imported into a second table.  With the AMCAS ID in both tables, the records can be matched and an Update query can be used to place the SSN into the TAMF table.  Then, that table can be written out again (exported) as a text file, containing both the SSN and the AMCAS ID before being submitted via SRTLOAD.

This process can be a little dicey, so I might recommend an alternate.  After you run SRTLOAD in Update mode, the TAMF data is stored into temporary tables in Banner.  The AMCAS ID is loaded into SATURN_SRTIDEN, and the SSN can be found in SATURN_SRTPERS.  Once again, using Microsoft Access or writing some sql code, match the AMCAS ID from SRTIDEN with the AMCAS ID in the SSN file.  Using the RIDM from SRTIDEN, perform the update of SSN into SRTPERS before running SRRSRIN.  This too, sounds a little complicated, but if you have an ID with Update access to these temp tables in Banner, it can be accomplished in a fairly straightforward manner.

Jerome,

The spreadsheet at the URL you referenced (http://cas-erpforum.s3.amazonaws.com/dd/ptcas/PTCAS_Liaison-AAMC%20Banner%20DD_2012_RevA.xls) mentions the SSN is provided through a separate, encrypted format to only those schools that request it.  From whom do we request that file?  Who on our end should be the person to request it?

Rich,

unfortunately at this time there is no such process for PharmCAS.
PTCAS has implemented it, hence the reference in the Data Dictionary, and Sophas is currently being worked on.

For those the process is for each school that wants access to this information to contact its specific CAS team leader and send her a PGP public key - the SSN files are encrypted using PGP.
